Welcome to the Quest Workspaces Member Portal ("Member Portal"), powered by Yardi. The Member Portal is designed to provide Members with a convenient, secure, and efficient way to manage their Quest Workspaces Membership and access a variety of services through a single online platform.
Through the Member Portal, Members may reserve meeting rooms and day offices, manage their Membership information, submit service requests, view invoices, make payments, communicate with the Quest Workspaces team, and access additional Member services and resources.
These Member Portal Terms of Use & Privacy Notice ("Terms") govern your access to and use of the Member Portal and mobile application. These Terms supplement, but do not replace, your Membership Agreement, Workspace License Agreement, House Rules, or any other agreement you may have with Quest Workspaces. In the event of any conflict between these Terms and your executed Membership Agreement or Workspace License Agreement, the terms of those agreements shall govern.


Eligibility

• To access and use the Member Portal, you must:

• Be an authorized Quest Workspaces Member, client, or approved user.

• Be at least eighteen (18) years of age or otherwise authorized to use the Portal on behalf of your company or organization.

• Provide accurate, complete, and current account information.

• Maintain the confidentiality of your account credentials.
You are responsible for all activity occurring under your account, whether conducted by you or an authorized user acting on your behalf.
Quest Workspaces reserves the right to deny, suspend, or terminate access to the Member Portal if eligibility requirements are no longer met or if these Terms are violated.

Account & Security

Your Quest Workspaces Member Portal account provides secure access to services and features designed to enhance your Membership experience. To help protect your information and maintain the integrity of the Member Portal, you agree to the following:


Account Responsibility
You are responsible for maintaining accurate, current, and complete information associated with your account. If your contact information, company information, or authorized users change, you agree to update your account promptly.
You are solely responsible for all activity that occurs under your account.


Login Credentials
Your username and password are personal and should not be shared with anyone outside your organization unless specifically authorized under your Membership.
You agree to:

• Create and maintain a secure password.

• Keep your login credentials confidential.

• Log out after using the Member Portal on shared or public devices.

•Take reasonable precautions to prevent unauthorized access to your account.


Unauthorized Access
If you believe your account has been compromised, your password has been disclosed, or you suspect unauthorized use of your account, you must notify Quest Workspaces immediately.
Quest Workspaces may temporarily suspend or restrict access to your account while investigating suspected unauthorized activity or security concerns.


Account Security
Quest Workspaces uses commercially reasonable administrative, technical, and physical safeguards to help protect your information and maintain the security of the Member Portal. While we continually work to safeguard your data, no website, mobile application, or internet transmission can be guaranteed to be completely secure.
Members are encouraged to use strong passwords, maintain appropriate security settings on their devices, and promptly install software and security updates provided by their device manufacturers.


Authorized Users
Business accounts may permit multiple authorized users as allowed under the applicable Membership Agreement. The primary account holder or designated administrator is responsible for managing authorized users and ensuring that all users comply with these Terms.
Quest Workspaces reserves the right to suspend, restrict, or terminate access to the Member Portal, with or without prior notice when appropriate, if we reasonably believe an account has been compromised, is being used fraudulently or unlawfully, violates these Terms, or poses a security risk to the Member Portal, Quest Workspaces, or other Members.

Reservations & Workspace Bookings

The Quest Workspaces Member Portal allows eligible Members to conveniently reserve meeting rooms, day offices, coworking workstations, and other amenities available at participating Quest Workspaces locations. All reservations are subject to availability, your Membership plan, and the policies of the applicable Quest Workspaces location.


Reservation Requests
Submitting a reservation request through the Member Portal does not guarantee availability until the reservation has been confirmed.
Quest Workspaces reserves the right to decline, modify, reschedule, or cancel reservations when reasonably necessary due to scheduling conflicts, maintenance, operational requirements, emergencies, safety concerns, or circumstances beyond our reasonable control.


Member Responsibility
Members are responsible for ensuring that all reservation information, including the requested date, time, location, room selection, guest count, and any requested services, is accurate at the time of booking.
Members are also responsible for the conduct of their employees, guests, contractors, invitees, and visitors while using Quest Workspaces facilities. All guests must comply with applicable Quest Workspaces policies, safety requirements, and House Rules.

Room Usage
Meeting rooms, day offices, coworking workstations, and other reservable spaces are intended for legitimate business purposes consistent with your Membership Agreement.
Members agree to:

• Use reserved spaces only during their confirmed reservation period.

• Vacate the reserved space promptly at the conclusion of the reservation unless additional time has been approved.

• Leave all reserved spaces in a clean, orderly, and professional condition.

• Promptly report any damage, maintenance concerns, or technology issues to Quest Workspaces staff.

• Respect fellow Members by maintaining appropriate professional conduct and reasonable noise levels.


Cancellations and Changes
Reservations may be modified or canceled through the Member Portal, subject to the applicable cancellation policies for your Membership type or the specific reservation.
Certain reservations may be subject to cancellation deadlines or fees. Members are responsible for reviewing the reservation details before confirming a booking.
Repeated no-shows, excessive late cancellations, abuse of the reservation system, or repeated violations of reservation policies may result in reservation restrictions or other actions deemed appropriate by Quest Workspaces.


Meeting Room Technology
Many meeting rooms include presentation displays, videoconferencing capabilities, whiteboards, wireless internet access, and other business amenities.
While Quest Workspaces makes commercially reasonable efforts to maintain these services, temporary interruptions, equipment malfunctions, software updates, or connectivity issues may occasionally occur.
Quest Workspaces does not guarantee uninterrupted availability of technology services and shall not be responsible for interruptions beyond its reasonable control.


Food and Beverage
Food and beverages may be permitted in designated meeting spaces in accordance with individual location policies.
Members are responsible for disposing of waste, leaving reserved spaces in good condition, and complying with any catering, cleaning, or facility requirements established by Quest Workspaces.


Damage to Property
Members are responsible for any damage to Quest Workspaces property, furnishings, technology, or equipment caused by themselves, their employees, contractors, guests, or invitees beyond normal wear and tear.
Quest Workspaces reserves the right to assess reasonable charges for repairs, replacement of damaged property, or additional cleaning resulting from misuse of reserved spaces.


Charges for Additional Services
Certain reservations may include optional services that incur additional charges, including, but not limited to, administrative support, catering, printing, mail and package handling, guest services, technology support, videoconferencing assistance, event setup, hospitality services, and other services or amenities requested by the Member.
Applicable fees and pricing will be disclosed before you confirm a reservation or request an optional service.
By confirming your reservation or service request, you authorize Quest Workspaces to charge the applicable fees in accordance with your Membership Agreement, the pricing displayed
within the Member Portal, or Quest Workspaces' then-current published pricing and service offerings.
Members are responsible for reviewing all applicable fees before confirming a reservation or requesting additional services.
Unless otherwise stated, charges for optional services are non-refundable once the requested service has been provided.


Operational Changes
Quest Workspaces reserves the right to relocate a reservation to a comparable space, modify room assignments, adjust available amenities, or temporarily suspend reservations when reasonably necessary to accommodate operational requirements, maintenance, safety concerns, emergencies, or unforeseen circumstances.
When practical, Quest Workspaces will make reasonable efforts to provide advance notice of such changes.

 

Payments & Billing

The Quest Workspaces Member Portal allows Members to securely manage certain financial transactions associated with their Membership, reservations, and optional services.


Payment Authorization
By submitting payment information through the Member Portal, you represent that you are authorized to use the selected payment method and authorize Quest Workspaces to charge all applicable fees associated with your Membership, reservations, purchases, or optional services.


Billing Information
Members are responsible for maintaining accurate, current, and complete billing information within the Member Portal.
Failure to maintain valid payment information may result in delayed services, declined reservations, interruption of certain Member Portal features, or additional collection efforts permitted under your Membership Agreement.


Invoices and Payment History
The Member Portal may provide access to invoices, receipts, account balances, payment history, and other billing information for your convenience.
Members are responsible for reviewing account activity and notifying Quest Workspaces promptly if they believe a billing error has occurred.


Taxes
Applicable federal, state, and local taxes will be assessed where required by law and included in your invoice or displayed during the reservation or checkout process, as applicable.


Failed or Declined Payments
If a payment is declined or cannot be processed, Quest Workspaces may suspend pending reservations, decline future reservation requests, restrict access to certain Member Portal features, or require an alternate payment method before services are provided.


Payment Processing
To facilitate secure online transactions, Quest Workspaces may utilize trusted third-party payment processors to process payments made through the Member Portal.
By submitting payment through the Member Portal, you acknowledge and authorize the use of these third-party payment providers to complete your transaction.
Payment information is processed and managed in accordance with applicable industry security standards and the privacy practices of the authorized payment processor.
While Quest Workspaces takes commercially reasonable measures to protect your information, Quest Workspaces is not responsible for service interruptions, processing delays, or security incidents caused by third-party payment providers that are beyond our reasonable control.


Refunds
Refund eligibility for reservations, services, or purchases is subject to the applicable cancellation policy, Membership Agreement, or specific terms presented at the time of purchase.
Unless otherwise required by law or expressly stated by Quest Workspaces, payments for completed services are non-refundable.


Billing Questions
If you believe your account has been charged incorrectly or have questions regarding an invoice, reservation charge, or payment transaction, please contact Quest Workspaces promptly so that we may review your account and, when appropriate, investigate and resolve the matter.


Privacy & Information We Collect

Quest Workspaces respects your privacy and is committed to protecting the personal information you share with us. We collect, use, and safeguard your information to provide the Member Portal, deliver requested services, improve your experience, maintain the security of our systems, and comply with applicable legal obligations.
The information we collect depends on how you interact with the Member Portal and the services you choose to use.


Information You Provide
When you create an account, make a reservation, submit a request, or otherwise use the Member Portal, you may voluntarily provide information including:

• Full name

• Company or business name

• Email address

• Telephone number

• Mailing or billing address

• Payment and billing information

• Emergency contact information, if applicable

• Reservation details

• Guest information you choose to provide

• Service requests and support inquiries

• Communications with Quest Workspaces
You are responsible for ensuring that the information you provide is accurate, complete, and current.


Information Collected Automatically
When you access the Member Portal or mobile application, certain information may be collected automatically, including:

• Device type and operating system

• Browser type and version

• Internet Protocol (IP) address

• Mobile device identifiers

• Date and time of access

• Login activity

• Pages and features accessed

• Reservation activity

• Application performance and diagnostic information
This information helps Quest Workspaces maintain the security, reliability, and performance of the Member Portal.


Location Information
If you choose to enable location services on your mobile device, the Member Portal may use your device's location to improve your experience, such as helping you locate nearby Quest Workspaces locations or providing location-based features.
You may disable location services at any time through your device settings; however, certain features of the Member Portal may not function as intended.


Cookies and Similar Technologies
The Member Portal and related websites may use cookies, pixels, and similar technologies to:

• Remember your preferences

• Maintain secure login sessions

• Improve website functionality

• Measure application performance

• Analyze usage trends

• Enhance the overall Member experience
You may adjust your browser or device settings to manage cookie preferences. Please note that disabling certain technologies may affect the functionality of the Member Portal.


Information from Third Parties
Quest Workspaces may receive information from trusted third-party service providers, payment processors, technology partners, or other authorized sources to verify account information, process transactions, improve services, maintain security, and support Member requests.


Children's Privacy
The Member Portal is intended for business use by adults. Quest Workspaces does not knowingly collect personal information from children under the age of thirteen (13). If we become aware that such information has been collected without appropriate authorization, we will take reasonable steps to delete it in accordance with applicable law.

How We Use Your Information

Quest Workspaces uses the information collected through the Member Portal to provide, operate, maintain, and improve our services while delivering a secure, reliable, and personalized Member experience.
We may use your information to:

• Create and manage your Member account.

• Authenticate your identity and maintain account security.

• Process reservations for meeting rooms, day offices, coworking spaces, and other Member services.

• Process payments and maintain billing records.

• Respond to service requests and provide Member support.

• Communicate regarding your Membership, reservations, invoices, and account activity.

• Send operational notices, service announcements, maintenance updates, and security alerts.

• Improve the performance, reliability, and functionality of the Member Portal.

• Analyze usage trends to enhance our services and the overall Member experience.

• Detect, investigate, and prevent fraud, unauthorized access, security incidents, or other activities that may compromise the Member Portal or Quest Workspaces.

• Comply with applicable laws, regulations, legal processes, and contractual obligations.

• Protect the rights, property, safety, and security of Quest Workspaces, our Members, our employees, and our business operations.


Marketing Communications
Where permitted by applicable law, Quest Workspaces may send information regarding new services, events, promotions, educational content, or Member benefits that may be of interest to you.
You may opt out of receiving promotional communications at any time by following the unsubscribe instructions included in the communication or by updating your communication preferences within the Member Portal, where available.
Please note that even if you opt out of promotional communications, Quest Workspaces may continue to send transactional, operational, billing, security, or legally required communications necessary to administer your Membership and provide Member services.


Our Commitment to Privacy
Quest Workspaces uses personal information only for legitimate business purposes consistent with this Privacy Notice, your Membership Agreement, applicable law, and the services you request through the Member Portal.
Quest Workspaces does not sell your personal information to third parties.

 

Information Sharing & Third-Party Services

Quest Workspaces respects the confidentiality of your personal information. We do not sell or rent your personal information to third parties for their independent marketing purposes.
We may share information only as necessary to operate the Member Portal, provide requested services, meet legal obligations, or protect the rights, property, and security of Quest Workspaces and our Members.


Service Providers
Quest Workspaces may share information with trusted third-party service providers that assist in operating the Member Portal and delivering services, including providers supporting:

• Payment processing

• Reservation management

• Customer support

• Information technology and system maintenance

• Cloud hosting and data storage

• Communications and email delivery

• Analytics and application performance

• Security monitoring and fraud prevention
These providers are authorized to use your information only to perform services on behalf of Quest Workspaces and are expected to maintain appropriate safeguards to protect your information.


Legal Requirements
Quest Workspaces may disclose information when required by law or when we reasonably believe disclosure is necessary to:

• Comply with applicable laws, regulations, court orders, or legal processes.

• Respond to lawful requests from governmental authorities.

•Protect the rights, safety, security, or property of Quest Workspaces, our Members, our employees, or the public.

• Detect, investigate, or prevent fraud, unauthorized access, security incidents, or other unlawful activities.


Business Transactions
If Quest Workspaces is involved in a merger, acquisition, financing, corporate restructuring, sale of assets, or other business transaction, Member information may be transferred as part of that transaction, subject to applicable legal requirements.


Third-Party Services
The Member Portal may contain links to or integrate with third-party websites, software, or services.
Quest Workspaces does not control and is not responsible for the privacy practices, security, availability, or content of third-party services.
Members are encouraged to review the privacy policies and terms of use of any third-party services they choose to access.

 

Cookies, Analytics & Technology

Quest Workspaces uses cookies, similar technologies, and analytics tools to enhance the performance, functionality, security, and reliability of the Member Portal.
These technologies help us:

• Authenticate Members and maintain secure login sessions.

• Remember Member preferences and settings.

• Improve website and mobile application performance.

• Understand how Members use the Member Portal.

• Diagnose technical issues and improve system reliability.

• Measure the effectiveness of features and services.

•Protect against unauthorized access and fraudulent activity.
Some analytics may be provided by trusted third-party technology partners who assist Quest Workspaces in understanding Member engagement and improving the overall Member experience.
Most web browsers and mobile devices allow users to manage cookie preferences or limit certain tracking technologies. Disabling these technologies may affect the availability or functionality of certain features within the Member Portal.
Quest Workspaces uses information collected through these technologies only for legitimate business purposes consistent with this Privacy Notice.

 

Electronic Communications

By creating a Member Portal account or using the Quest Workspaces Member Portal, you consent to receive electronic communications from Quest Workspaces regarding your Membership, reservations, account activity, billing, service requests, and use of the Member Portal.
These communications may include, but are not limited to:

• Reservation confirmations and reminders

• Account notifications and security alerts

• Billing statements, invoices, payment confirmations, and receipts

• Service requests and customer support communications

• Maintenance notifications and operational updates

• Changes to the Member Portal or these Terms

• Announcements regarding Quest Workspaces locations, services, events, or Member benefits
Communications may be delivered through the Member Portal, email, text message (SMS), push notifications, or other electronic methods associated with your account.
Members are responsible for maintaining accurate contact information to ensure timely delivery of important communications.
Where required by applicable law, Quest Workspaces will obtain your consent before sending marketing or promotional communications. You may opt out of promotional communications at any time by following the unsubscribe instructions provided in the communication or by updating your communication preferences within the Member Portal, where available.
Please note that opting out of promotional communications does not affect your receipt of transactional, operational, billing, security, or legally required communications related to your Membership or use of the Member Portal.

 

Acceptable Use

The Quest Workspaces Member Portal is intended to provide Members with secure and convenient access to services offered by Quest Workspaces. Members agree to use the Member Portal responsibly, lawfully, and in a manner that supports a safe, professional, and respectful environment for all users.
Members agree that they will not:

• Use the Member Portal for any unlawful, fraudulent, or unauthorized purpose.

• Attempt to gain unauthorized access to the Member Portal, other Member accounts, Quest Workspaces systems, or connected networks.

• Interfere with or disrupt the operation, security, or performance of the Member Portal.

• Upload, transmit, or distribute malicious software, viruses, ransomware, or other harmful code.

• Use automated tools, bots, scripts, or other technologies to access or interact with the Member Portal without prior written authorization.

• Misrepresent their identity or impersonate another individual or organization.

• Submit false, misleading, or inaccurate information.

Use the Member Portal in any manner that could damage the reputation, operations, security, or services of Quest Workspaces.
Members are also expected to use Quest Workspaces facilities in accordance with their Membership Agreement and the Quest Workspaces House Rules, which remain in effect while using the Member Portal.
Quest Workspaces reserves the right to investigate suspected violations of these Terms and may suspend, restrict, or terminate access to the Member Portal when reasonably necessary to protect the security, integrity, or proper operation of the Member Portal, Quest Workspaces, or its Members.

 

Intellectual Property

The Quest Workspaces Member Portal, including its software, design, layout, graphics, text, images, trademarks, logos, service marks, content, and functionality, is owned by or licensed to Quest Workspaces and is protected by applicable copyright, trademark, intellectual property, and other laws.
Subject to these Terms, Quest Workspaces grants Members a limited, non-exclusive, non-transferable, and revocable license to access and use the Member Portal solely for their personal or authorized business use in connection with their Membership.
Except as expressly permitted by these Terms or applicable law, Members may not:

• Copy, reproduce, distribute, publish, modify, display, or create derivative works from any portion of the Member Portal.

• Reverse engineer, decompile, disassemble, or otherwise attempt to extract the source code of the Member Portal.

• Remove or alter any copyright, trademark, or proprietary notices.

• Use Quest Workspaces' name, trademarks, logos, branding, or other proprietary materials without prior written consent.
Nothing contained within these Terms transfers ownership of any intellectual property rights to Members. All rights not expressly granted remain the exclusive property of Quest Workspaces or its licensors.

 

Disclaimer of Warranties

The Quest Workspaces Member Portal is provided on an "as is" and "as available" basis, subject to applicable law.


While Quest Workspaces strives to provide a secure, reliable, and uninterrupted Member experience, we do not warrant or guarantee that the Member Portal will always be available, uninterrupted, error-free, or free from delays, defects, viruses, or other harmful components.


Quest Workspaces makes commercially reasonable efforts to maintain the accuracy of information presented through the Member Portal. However, the availability of meeting rooms, services, amenities, pricing, account information, and other content may occasionally change or contain inaccuracies.


To the fullest extent permitted by applicable law, Quest Workspaces disclaims all warranties, whether express, implied, statutory, or otherwise, including, without limitation, any implied warranties of merchantability, fitness for a particular purpose, title, non-infringement, or uninterrupted availability.


Nothing in these Terms is intended to limit or exclude any warranty or legal right that cannot be lawfully limited or excluded under applicable law.

 

Limitation of Liability

To the fullest extent permitted by applicable law, Quest Workspaces, its affiliates, owners, officers, directors, employees, agents, contractors, licensors, and service providers shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages arising out of or relating to your access to or use of the Member Portal, including, but not limited to, loss of data, loss of business opportunities, loss of profits, service interruptions, or unauthorized access to your account, even if Quest Workspaces has been advised of the possibility of such damages.


Quest Workspaces' total liability for any claim arising from or relating to the Member Portal shall not exceed the amount paid by the Member, if any, for the specific service giving rise to the claim during the twelve (12) months immediately preceding the event giving rise to the claim, to the extent permitted by applicable law.


Nothing contained in these Terms is intended to limit or exclude liability where such limitation or exclusion is prohibited by applicable law.

 

Changes to These Terms

Changes to These Terms
Quest Workspaces may revise or update these Member Portal Terms of Use & Privacy Notice from time to time to reflect changes in our services, technology, business practices, operational requirements, or applicable laws.


When material changes are made, Quest Workspaces may provide notice through the Member Portal, email, or other reasonable means. The Effective Date at the beginning of this document will indicate when the most recent version became effective.


Your continued access to or use of the Member Portal after updated Terms become effective constitutes your acceptance of the revised Terms.
If you do not agree with any changes to these Terms, you should discontinue use of the Member Portal.

You further acknowledge that you have had the opportunity to review these Terms before accepting them and that your electronic acceptance has the same legal force and effect as a handwritten signature, to the fullest extent permitted by applicable law.


If you do not agree to these Terms, you should not access or use the Member Portal or mobile application.
Your continued use of the Member Portal following any updates to these Terms constitutes your acceptance of the revised Terms.
